Description of Work
This position at Tryon Palace provides administrative support for the
Business Services Branch, the Director & Deputy Director, all located
at the Commission House. Supports institutional programs & projects.
Performs a variety of office assistant tasks to include: filing,
records management & archiving; electronic file management; data
collection & analysis; report generation & compilation; composition &
correspondence; office equipment support & operation; photocopying;
reception desk coverage; mail processing & distribution; maintaining
office supply inventory; scheduling of Commission House room &
equipment usage for meetings & conference calls & providing some
support for human resource functions. An important part of position
responsibilities is providing administrative support for the Tryon
Palace Commission & Kellenberger Historical Foundation to include
meeting preparation & follow-up, minute taking & production, other
reports & records tasks for these entities.
Knowledge, Skills and Abilities
Requires skill in use of all office equipment & ability to trouble
shoot on basic equipment malfunctions; considerable knowledge of
office unit procedures & practices; knowledge & skill in use of
computers & Microsoft Office software including Word, Excel & Outlook
for emailing, meeting scheduling, distribution lists & contacts.
Intermediate keyboarding speed & accuracy skills. Ability to to plan,
prioritize, organize, problem solve & respond to questions & inquiries.
General knowledge of office accounting; ability to perform
calculations & reconcile figures. Strong attention to detail and
ability to review own work for accuracy & completeness. Considerable
skill in written communication with ability to use correct grammar,
punctuation, vocabulary, spelling & office terminology. Strong
ability to function as part of a team & to suggest innovative
solutions as problems arise.
Training and Experience Requirements
Graduation from high school & demonstrated possession of knowledges,
skills, & abilities gained through at least one year of office
assistant/secretarial experience; or an equivalent combination of
training & experience.Management prefers completion of two year
secretarial science or business administration program with two years
experience as an office assistant/secretary with demonstrated ability
to function as part of a team with ability to function independently
in completion of assigned tasks & work unit goals. Degrees must be
from appropriately accredited institutions.
